What is a Managed Print Service (MPS)?

How do we implement an MPS solution?
March 18, 2016

The managed print services definition is broad, but the end result is simple: gaining visibility and control of your printing, which helps you save money and boost productivity. Managed print also helps you improve environmental sustainability and document security.

“By “printing,” we mean the total cost of managing and optimising your printers, their output, and the people and processes that support these devices”.

This includes:

  • Pages produced by office workers, mobile workers and production print operations
  • Office desktop printers, multifunction printers, copiers, scanners, fax machines and high-volume printers
  • Materials sent out for quick printing, offset printing, mailing and distribution
  • IT help desk support, technical service, maintenance and add, move and change requests
  • Paper, ink, toner and other supplies and consumables

Gartner’s definition of MPS

A Managed print service (MPS) is a service offered by an external provider to optimize or manage a company’s document output. The main components provided are needs assessment, selective or general replacement of hardware, and the service, parts and supplies needed to operate the new and/or existing hardware. The provider also tracks how the printer, fax, copier and MFP fleet is being used, the problems, and the user’s satisfaction.

“The managed print services market continues to gain momentum as enterprises seek to tackle escalating print costs and drive greater business efficiency. The market is relatively buoyant with 51% of organisations (either already using or planning to use MPS) indicating they plan to increase expenditure on MPS over the next year.” (Source Quocirca)
